Mira Setup: Understanding Your Settings
Last updated: October 22, 2026
Mangomint + Mira
Before you start training Mira on how to interact with clients, it's important to understand which settings control her behavior. This will help prevent Mira from giving clients incorrect information or offering unavailable appointments, even if you've trained her differently through conversation.
There are two areas where you can edit settings that impact Mira’s behavior: Mangomint’s core business and online booking settings, and Mira-specific settings.
Core Mangomint settings live in Mangomint under Apps > Settings.
Mira-specific controls are also in Mangomint under Apps > Mira > Settings
Settings and system data determine what Mira can do; guidance shapes how she communicates within those limits. For an explanation and examples, see How Settings, Guidance, and System Data Work Together.
Core Mangomint Settings That Control Mira
Mangomint supplies the business information, services, and availability Mira uses.
Business Hours
What it controls: The hours each location is open. These hours affect how Mira handles after-hours interactions; they do not determine appointment availability for individual providers.
Where to find it:
Single-location businesses:
Apps > Settings > Business Setup > Business HoursMulti-location businesses:
Apps > Settings > Business Setup > Business Hours > Location
Why it matters: Accurate hours help Mira represent when the business is open and follow your intended after-hours behavior.
Staff Schedules
What it controls: Provider schedules, time off, and blocked time determine appointment availability—not business hours.
Where to find it: Apps > Staff Members > [Staff Name] > Work Hours. Review each provider's schedule and time off in Mangomint.
Why it matters: Mira uses this information to find available appointment times. Outdated schedules can cause her to offer unavailable appointments or miss real openings.
Online Booking Restrictions
What they control: How soon and how far in advance clients can book, including minimum notice and maximum advance booking.
Where to find them: Apps > Settings > Online Booking > Preferences > Time Restrictions
Why they matter: Mira follows these restrictions when offering appointment times. Check them against your intended booking window.
Avoid Gaps Between Appointments
What it controls: Whether online booking avoids creating gaps between appointments. It does not tell Mira to prioritize filling existing gaps.
Where to find it: Apps > Settings > Online Booking > Preferences > Avoid gaps between appointments
How it works: When enabled, online booking only offers times that avoid creating gaps in a provider's schedule. Whether Mira can also book other available times depends on her separate “Maximize time slot flexibility” setting.
Why it matters: Confirm this preference matches how you want online booking to handle provider schedules.
Related: See “Maximize Time Slot Flexibility” under Mira-Specific Settings below.
Cancellation and Rescheduling Cutoffs
What they control: How close to an appointment a client can cancel or reschedule.
Where to find them: Apps > Settings > Calendar & Appointments > Cancel & Reschedule
How it works: When a request falls outside the allowed window, Mira escalates it to your staff. She does not tell the client to call the salon.
Why they matter: Keep the cutoffs aligned with your current policy.
Services and Provider Eligibility
What it controls: Which services and providers Mira can book.
How to set it up: Configure a team member as a service provider, assign the relevant service, and enable them as bookable. Keep service names and durations current.
Why it matters: Mira can only book services and providers configured as bookable in Mangomint.
Pricing
What it controls: The prices Mira quotes to clients.
Where to maintain it: Keep service prices current in Mangomint.
Why it matters: Current prices help Mira quote accurately. Hiding a price from online booking does not prevent Mira from quoting it.
Mira-Specific Settings
These controls are in Mangomint under Apps > Mira > Settings. They shape Mira's channel behavior and communication; Mangomint still governs provider schedules, services, and booking policies.
Capabilities Settings
Where to find the capabilities settings: Mira > Settings > General> Toggle next to Enable/Disable Calls and Texts. Actions can be turned on or off individually, except service changes, which have no separate toggle.
What Mira Can Do on Calls and Texts
Texts: Mira can book, reschedule, cancel, confirm appointments when clients reply to reminder texts, respond to positive feedback, and flag spam. If a capability is turned off, she hands the conversation to staff with a note explaining why.
Calls: Mira can book, reschedule, and cancel appointments. She won't book by phone for callers who are blocked from online booking. If a capability is turned off, she can notify staff to follow up or transfer the call.
Changing a service: Mira can change the service on an existing appointment on both calls and texts. For text messaging, Reschedule Appointments must be turned on in text capabilities for her to change a service.
Questions and waitlist: On both channels, Mira can answer questions about services, prices, and policies. She offers the waitlist as a last resort when both the waitlist and book capabilities are turned on. On calls, she does not offer it during reschedules.
Personality
Where to find it: Mira > Settings > General > Personality
What it controls: How Mira sounds in texts. These settings apply to texts only; on calls, her Clear, Smooth, or Balanced voice and her greeting determine how she sounds.
Options:
Tone of voice: Friendly (warm, approachable, conversational), Professional (efficient, clear, confident), Energetic (lively, upbeat, enthusiastic), or Calm (gentle, patient, comforting).
Emoji usage: None, in moderation, or frequently (shown in the app as “Yes, as many as you want”).
Why it matters: Tone changes how Mira says things, not what she does. Use guidance for specific behavior. For tone examples, use real Mira replies in each tone rather than writing new examples.
Conversation Settings
Close resolved conversations
Where to find it: Mira > Settings > General > Conversation Settings
What it controls: Whether Mira can automatically close text conversations after resolving the client’s request.
How it works: This applies only in text conversations and allows Mira to resolve and close out conversations without human oversight.
Why it matters: Turning this feature on reduces inbox clutter but reduces visibility to her conversations in the primary Mangomint inbox. All of Mira’s conversations are available regardless of open or closed status inside the Mira app.
Booking Settings
Allow Rescheduling with Other Providers
Where to find it: Mira > Settings > General > Booking Settings
What it controls: Whether Mira can offer availability with a different provider when rescheduling.
Default: This setting is disabled by default, restricting Mira to only book with the same provider on the original appointment.
How it works: When enabled, Mira can check availability across providers. If the client originally requested a specific provider, Mira asks before switching them. When disabled, Mira stays with the provider on the original appointment.
Why it matters: Enable it to give clients more options; leave it off when keeping the requested provider is more important.
Suggest customizations from history
What it controls: Whether Mira can suggest add-ons a client has booked before.
How it works: This applies only in text conversations and only to add-ons—not to suggesting a main service or during phone calls.
Why it matters: It can make recommendations more personal and boost revenue. Consider whether proactive add-on suggestions fit your client experience.
Maximize Time Slot Flexibility
Important: This setting only applies when “Avoid Gaps” is enabled in your core Mangomint settings. Learn more here.
What it controls: When “Avoid Gaps” is enabled, whether Mira is limited to the times offered in online booking or can book other available times.
How it works:
Off: Mira only offers times available in online booking. If “Avoid gaps” is enabled, she only offers times that avoid creating gaps.
On: Mira offers times that avoid gaps first, but can also book other available times—even if they create a gap.
Why it matters: Leave this off to keep Mira aligned with the times offered in online booking. Turn it on to prioritize compact schedules while still giving clients more flexibility.
Cancellation and Reschedule Policy Exceptions
Where to find it: Mira > Settings > General > Cancellation & reschedule policy exceptions
What it controls: By default, Mira flags requests outside your cancellation/reschedule policy for your team to handle. This setting lets you add custom exceptions that allow Mira to proceed automatically.
How it works: Define specific scenarios where Mira should override the standard policy cutoff. Use a condition Mira can evaluate from client history—for example, an exception for clients who have visited for over a year and have no late cancellations. Mira cannot evaluate VIP tags or memberships.
Why it matters: Exceptions give you flexibility for special circumstances without loosening your overall policy. Without exceptions, Mira defers to your team for out-of-policy requests.
Text Messages
When Mira Responds to Texts
Where to find it: Mira > Settings > Text messages
Coverage: Choose whether Mira responds always (all hours) or only outside business hours.
Staff replies and handoffs:
After a staff member replies, Mira steps back while the conversation remains open. If staff use Send and close, she stays on.
After Mira hands a conversation to staff, she stays out until it is closed or someone selects Enable Mira next to the message box.
Staff can pause Mira for 1, 3, or 6 hours, until the conversation is closed, or turn her off for a specific client. Turning her off for a client also stops her from answering that client's calls.
Messages Mira flags for staff: Sensitive texts (such as a death in the family or a health issue), running-late messages, and late-cancellation messages.
Phone Calls
How Mira Handles Calls
Where to find it: Mira > Settings > Phone calls
When she answers: Choose all hours or outside business hours only.
Who she answers: Choose all callers or existing clients only.
How she picks up: Choose immediately, after a few rings (staff get 15 seconds to answer first), or only when all staff are already on calls.
Follow-up notes (the default): When a caller needs staff, Mira says someone will follow up and continues the call. Afterward, staff receive a notification and a one-sentence note about what the client needs.
Transfers: When enabled, Mira rings your team on Mangomint Phone and gives whoever answers a quick summary before connecting the caller. Transfers happen only during business hours, and only staff set as available to take phone calls are called. After hours, or if nobody answers, Mira stays on the call and offers follow-up instead.
Multiple calls: Mira can handle multiple calls at once.
Custom Phone Greetings
Where to find it: Mira > Settings > Phone calls > Voice & Greeting > Greeting
What it controls: The greeting callers hear when Mira answers. A custom greeting replaces the default word for word.
Default greeting: “Thank you for calling (business name). This is Mira, the AI receptionist. How can I help you today?”
Tips:
Keep it short: The limit is 150 characters. The “This call is being recorded” notice already plays before the greeting.
Keep it natural: Give Mira a similar greeting to how a human on your team would answer the phone.
Keep the AI disclosure: We recommend stating that Mira is an AI receptionist, unless you are certain that your state does not require it.
Avoid inviting staff requests: Don't invite callers to ask for a person in the greeting, since that can send more calls to staff unnecessarily.
Preview it: Spell names the way they sound, then use Preview greeting to hear it.
